Building the "Friday Report" System
Business owners dread Fridays because it means compiling data. Here is how to use AI to turn a messy "brain dump" into a pristine Executive Summary in 30 seconds.
The biggest lie in operations is that you need a complex dashboard to understand your business. Dashboards are great for data, but they are terrible for context.
A dashboard tells you "Revenue is down 5%." It doesn't tell you "Revenue is down because our main Stripe gateway failed on Tuesday."
You need a Narrative Report. But writing one takes hours of formatting. This system solves that by decoupling the collection of data from the formatting of data.
The "Dump & Sort" Philosophy
The friction of reporting comes from trying to format while you write. "Should this be a bullet point? Is this bold?"
Our system uses a Raw Input method. You simply paste messy notes, Slack messages, and raw metric numbers into the AI, and it restructures them into a "Red/Yellow/Green" status report.
The Target Output
Before we look at the prompt, here is what the result looks like. This is what you (or your team) should be reading every Friday at 4 PM:
The "Chief of Staff" Prompt
This prompt turns ChatGPT (or Claude) into a ruthlessly efficient Chief of Staff. It strips away fluff and highlights bottlenecks.
Implementation Strategy
To make this stick, you need a trigger.
- Set a recurring calendar invite for Friday at 3:45 PM called "Data Dump."
- Spend 5 minutes copying numbers from Stripe/Ads Manager and pasting Slack updates into a text file.
- Run the prompt.
- Email the result to your team (or just yourself) to close the loop on the week.
This simple habit clears your mental RAM for the weekend. You aren't worrying about what you forgot; you have a generated report telling you exactly where things stand.
